Job Description:

The Accounts Payable Coordinator compiles, processes, and maintains accurate and timely accounts payable records and assists the Corporate Controller as needed. Completes payments and controls expenses by receiving, reviewing, verifying, and processing purchase orders, reconciling and applying invoices, and generating GL & sub-ledger entries for posting.

Essential Duties and Responsibilities

The described are considered essential to the job and representative of those that must be met by an employee to successfully perform the essential functions.   • Prepares all company purchase orders and check requests as needed. This includes reviewing and posting check requests submitted in the A/P system and scheduling approved vendor payments (EFT/ACH/checks) in a timely manner.
  • Acquires all required payment documentation and matches key criteria to ensure proper financial controls.
  • Verifies and maintains Check Request Approval listings and the Voucher Register.
  • Posts adjustments in the Accounts Payable Journal.
  • Prepares invoice deduction notices as necessary.
  • Responsible for keeping sound invoice records.
  • Prepares monthly AP reports for analysis.
  • Reconciles respective AP balance(s) monthly and researches any discrepancies.
  • Prepares month-end bank statement report with monthly wire/ACH disbursements.
  • Prepare monthly, quarterly State Use tax payable.
  • Assists in the monthly closing.
  • Assists during company audits.
  • Answers all internal and external AP-related inquiries.
    Qualifications and Requirements

    Education/Experience

    Skills/Knowledge/Abilities

    Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.

    Language Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

    Mathematical Skills: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

    Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

    Computer Skills: To perform this job successfully, an individual should have knowledge of; Internet software; Accounting systems; Excel Spreadsheet software and Word Processing software.
